What we collect, how we use it, and your choices.

1. Who we are

ReconAxis is operated by [Legal Entity Name], registered in [Jurisdiction] (“we”, “us”). We provide reconciliation software to financial firms. For privacy questions, contact privacy@reconaxis.com.

2. Data we collect

  • Account data: name, work email, organization and role.
  • Customer content: files you upload or connect (custodian, prime broker and administrator data) processed to perform reconciliation on your behalf.
  • Usage telemetry: log and diagnostic data used to operate, secure and improve the service.
  • Billing data: handled by our payment processor; we do not store full card numbers.

3. How we use data

To provide and secure the service, perform reconciliation, provide support, meet legal obligations, and improve the product. We do not sell your data, and we do not use customer content to train third-party models.

4. Roles: controller and processor

For customer content, you are the data controller and ReconAxis acts as your processor — we process that content only on your documented instructions. For account and billing data, we act as controller.

5. Subprocessors

We use a small set of vendors to run the service, including Amazon Web Services (hosting, storage, AI inference) and Stripe (billing). We require appropriate data protection terms from each and will provide notice before adding a new subprocessor that handles customer content.

6. Retention & deletion

We retain customer content for the term of your subscription and your configured retention window. On termination, we delete customer content within 30 days and can provide a certificate of deletion on request, subject to legal retention requirements.

7. Security

We protect data with encryption at rest and in transit, role-based access and audit logging. See our Security overview for details.

8. Your rights

Subject to applicable law (including Canada’s PIPEDA and, where relevant, the GDPR), you may request access to, correction of, or deletion of your personal data. Email privacy@reconaxis.com. In the event of a breach posing a real risk of significant harm, we will notify affected customers and regulators as required by law.

9. International transfers

Data is hosted in the United States by default, with a Canadian residency path available. Where data is transferred across borders, we rely on appropriate safeguards such as standard contractual clauses.

10. Changes

We may update this policy; material changes will be posted here with an updated date. Continued use of the service after changes take effect constitutes acceptance.
